Privacy Policy
Last updated 4 October 2026
This page explains what information ExamNexus AI keeps about you, why, who can see it and how long it's kept. It follows New Zealand's Privacy Act 2020.
Who is responsible
Your school is responsible for your personal information: under the Privacy Act it is the agency that holds it. AIEQUITAS runs ExamNexus AI for your school and uses your information only to provide the service to you and your school.
What we keep
- Your account: your username, your school email address, your school and your role. Your password is stored scrambled (hashed), so no one can read it.
- Your standards: the standards you're working on, your current and target grades, and the text you're studying.
- Your practice: your answers, your self-assessments, your Quick check answers, your learning method sessions and flashcards, and your study plan.
- AI feedback: the feedback, marks and grades given on your practice.
- Tutor conversations: what you ask the tutor and its answers.
- Security records: for example, when someone opens a page that needs special access.
How we use it
To run the service for you: to show your work, give you feedback, plan your study, answer your questions and show your teachers how you're going. We also use it to keep you safe (see below) and to fix and improve the service. We don't sell your information, and we don't use it for advertising.
What your teachers see
Your teachers see your standards and grades over time, your recent work with its feedback and your own assessment of it, and your study plan. They don't see your conversations with the tutor.
AI processing
Some features use AI: marking your written answers, the tutor, your study plan and a safety check. For these, your work is sent to Microsoft Azure's AI service and processed in Microsoft's Asia-Pacific data zone, which Microsoft may add regions to. Stored data stays in Australia. It is never used to train AI. We don't send your name, username, email address or school with it.
Microsoft's systems check content for possible harm. Content they flag may be checked automatically and, in some cases, reviewed by authorised Microsoft staff.
Our practice questions and guides are written with other AI services from public NZQA material. No student information is sent to them.
Keeping you safe
We check what you write for signs that you might not be safe. If we find any, we show you where to get help and may let your school's pastoral contact know. We keep a record of that safeguarding event.
How long we keep it
- Tutor conversations, AI feedback and records of what was sent to AI: one year, then deleted.
- Safeguarding records: one year. We will review this period with your school.
- Everything else: while you have an account. When your school closes your account or stops using ExamNexus AI, we delete your information as the school directs.
Cookies
We use one cookie, to keep you signed in and to protect the forms you send. Your browser also remembers whether you chose the light or dark theme. There are no analytics, advertising or tracking cookies, and no third-party scripts.
Keeping it secure
Connections to ExamNexus AI are encrypted, passwords are hashed, and staff see only what their role needs.
Seeing and correcting your information
Students can see everything we hold about them, including exactly what their teachers see and where AI processed their work, under Me → My data, and download it as one file.
You can also ask to see the information we hold about you, and ask for it to be corrected. Ask your school, or email us at Admin@info.aiequitas.com.
Questions and complaints
Email Admin@info.aiequitas.com, or talk to your school. If you're not happy with the answer, you can complain to the Privacy Commissioner: privacy.org.nz, or 0800 803 909.
Need to talk to someone?
If something is worrying you, talk to someone you trust: a parent or whānau member, your dean, the school counsellor or a teacher. You can also email us at Admin@info.aiequitas.com and we'll pass it on to your school.
That inbox is not watched around the clock. Outside school hours, or if you need help now:
- 1737: free call or text, any time, to talk with a trained counsellor.
- Youthline: call 0800 376 633 or free text 234.
- If you or someone else is in danger right now, call 111.
Changes to this policy
We may update this policy. The date at the top shows the latest version, and we'll tell your school about important changes.
